Understand Who Is Added to Academy Group Chats

See how VR SPORT selects Players, Coaches, Academy staff and the Academy owner for each Academy group type.

Academy owner

The Academy owner is added when an Academy group is created and is treated as the group owner or administrator.

Branch-wide group

  • Active Players are added from the Academy enrolment data loaded into the creation screen.
  • Active staff are included.
  • Coaches connected through Academy batches are included.

Program group

  • Active Players enrolled in the selected program
  • Active Academy staff with communication permission
  • Coaches assigned to batches that belong to the selected program

Batch group

  • Active Players assigned to the selected batch
  • Active Academy staff with communication permission
  • Coaches assigned to the selected batch

Membership after assignments change

VR SPORT can update Coach access when Batch assignments change. A Coach may be added to or removed from the relevant Batch, Program and Branch-wide groups.

Note: After a recent Player enrolment, transfer, staff-permission change or Coach assignment, close and reopen Messages and review the member list. Contact support if the group does not reflect the current Academy setup.

Leaving and removal

  • A non-owner member can leave a group from Group Information.
  • Leaving removes the group from that member’s chat list without deleting it for other members.
  • The Academy owner cannot leave a group they created. The owner must deactivate or archive it.
  • When a Coach is fully detached from an Academy, the Coach should lose access to the Academy’s active group chats. Contact support if access remains.
